Hire Terms

Please read the following before booking with us. You will be required to confirm you have read the hire info before you can proceed with your booking. Please note, that a full copy of our hire “Terms of Use” will be sent with our booking form and must be signed before your booking is confirmed.

Booking Fee Process

We require 50% of your booking cost to be paid as deposit upon RaveCave's acceptance of your booking. The balance, which includes a $250 Damage Bond must be paid no later than 24 hours before the date and time for set up. Please note that the deposit is non-refundable if your booking is canceled less than 14 days before your event.


Damage Bond

The Damage Bond will be held until RaveCave has collected and inspected the Booked Item(s) and released to you once no damage has been confirmed. Should damage occur, we will invoice you within 7 days the full cost of any repair or replacement to said item(s).


Inclement Weather

The Party Tents cannot be set up and/or used in inclement weather. RaveCave retains the discretion to refuse to set up the Party Tent should it consider that the weather and/or conditions of the premises to be unsafe or unsatisfactory; and may cancel and reschedule your Booking, or credit or partially refund the Booking Fee and Damage Bond as decided by RaveCave. RaveCave‘s decision in relation to this is final, and you acknowledge that this decision is made in the interest of the safety of you and your guests.

If you wish to cancel your Booking due to inclement weather, you must provide atleast 48 hours written notice to RaveCave. It is at RaveCave’s sole discretion as to whether they accept the cancellation request. If your cancellation request is accepted, then RaveCave can decide to reschedule the Booking, provide a credit in respect of the Booking, or refund such portion of the sums paid by you in respect of the Booking, decided by RaveCave in its sole discretion.

If the Booking is required to be cut short due to a change in weather conditions, a partial refund or compensation may be issued as decided by RaveCave. 


Set up and Collection process and additional costs

Booking Fee includes the traveling cost and set up cost of your Party Tent within a 20km radius of Manukau, 2104. Hire locations outside of the 20km radius of Manukau, 2104, will incur a small delivery fee which will be decided and duly quoted by RaveCave.

The latest collection time for a 1-6 hour and a 6+ hour hire is 11pm. For any collection required after 11pm is considered an overnight hire (and will be subject to such additional costs). The latest pick-up time for an overnight hire is 10am the following morning.


Cancellations

We understand circumstances may change and we are more than willing to work with you to reschedule or modify your booking where possible. However please note booking fee process.

If you cancel your Booking within one week of your hire date, only the Damage Bond (if paid) will be refunded to you. Please make sure you understand this before booking. 

Cancellation of Bookings more than two weeks prior to the Booked date will result in a refund of all sums paid.

If potential risks arise during the event or the Booked item(s) has been misused inadvertently causing the event to be cut short, a partial refund or compensation may be issued at RaveCave’s discretion.


Health and Safety

As part of our setup process, RaveCave (through its employees and/or contractors), will discuss the operation of the Party Tent with you (or your representative at the address at the time of set up) and will explain in detail any Health and Safety procedures. It is then your responsibility during the Booking period to ensure these Health and Safety Procedures are adhered to. You acknowledge and agree that RaveCave is not liable for any claim or cost arising from any loss, injury, or death to any person as a result of your Booking and use of the Party Tent. Accordingly, you indemnify RaveCave In respect of the same. 

You warrant that, at all times during your Booking, at-least one responsible adult must be present to oversee the use of the Booked Item(s) to ensure that the Booked Item(s) are not damaged, and to ensure compliance with the Health and Safety procedures advised by RaveCave. If you are unable to provide a responsible adult for the Booking, RaveCave may hire a security guard to act in this capacity. The cost of this will be invoiced to you and payment will be due within in 24 hours.

The Party Tents get warm inside during the warmer seasons. Please be mindful when booking and wanting an early setup. All of our Party Tents have adequate ventilation through the doors. You are able to hire a three-speed fan from RaveCave, or place your own fan or air conditioner inside (provided it complies with all Health and Safety provisions and obligations). You can hire a three-speed fan from RaveCave for $30 per Booking 


Permits 

If your Booking is to be held in a public event space, you will be solely responsible for obtaining a permit from the Council. For reference, our Party Tents are considered "Temporary structures" and are under 100sqm. We will not be liable for any fines that you may receive for not having the required permit.

Additional cleaning 

If your use of the Party Tent results in additional cleaning being required, then RaveCave reserves the right to deduct the costs of the cleaning from your Damage Bond and/or charge you an additional cleaning fee – depending on the degree to which cleaning is required (at RaveCave’s sole discretion).


PLEASE NOTE:

  • Please provide 1 hour for set up and 1 hour for break down and collection.
  • Someone must be present at the property to provide RaveCave with access to the proposed site and to be informed of all Health and Safety expectations.
  • Access to an adequate electricity source must be provided at your own cost. RaveCave’s Party Tents can be powered by a standard electricity source. If your set-up area is further than 30m from the closest power source, you will need to hire a generator and this will need to be ready on site when we arrive.
  • The minimum space required for the Party Tent to be able to be set up and safely secured is 6m width x 6.5m length. 5m in height. Please ensure that the surrounding area is also kept clear of any objects that could potentially cause damage to the Party Tent.
  • You must provide a flat area for the Party Tent to be safely set up on (they cannot be setup on sloped areas). For safety reasons, RaveCave will not setup the Party Tent in muddy areas or on unstable ground.
  • You are responsible for maintaining adequate inflation of the Party Tent for the duration of your Booking. 
  • You must not tamper with the Booked Items.
  • No food or chewing gum is permitted inside the Party Tent.
  • No vaping, smoking, naked flames, cooking or general sources of heat which could damage the Party Tent are permitted inside or near Party Tent                                                                                                        
  • No glassware, sharps (or anything capable of damaging the Party Tent) is permitted inside or near the Party Tent.
  • No high heels are permitted to be worn inside or near the Party Tent. 
  • No animals are permitted inside the Party Tent.
  • Maximum capacity for the Party Tents is approximately 30-40 people at any one time. In cases of warmer weather, RaveCave recommends that capacity does not exceed 30 people at any one time (for Health and Safety reasons).
  • Entry and exit doorways must be kept unblocked at all times (no one standing is the doorway opening)
  • No access to the Party Tent whilst it is being set up/taken down
  • No reckless behaviour that could cause damage to the Party tent and/or injury to others
  • In the event the inflater stops working please ensure everyone exits the Party Tent immediately and contact us as soon as possible.
